Facility Fee Payable
This covers the review of the supplied documents, the administration involved, waste disposable following the sustainability guidelines, and finally loss of revenue to us, We are able to supply all coffee machine requirements.

Mini Pod Machines £50 Plus vat per day( All used pods must be taken off-site)
Mini Bean to cup machine £155 plus vat per day
Large Volume Bean to cup machines £220 plus VAT per day
Barista Machine £295 plus vat per day

Failure to supply all information listed below in one email may result in further hourly charge at £29.95 per hour plus vat at a min of 1 hour.

£100 will apply for any requests made less than 4 weeks and 3 weeks from the build day of the event..
£200 will apply for any requests made less than 3 weeks and 2 weeks from the build day of the event..
£300 will apply for any requests made less than 2 weeks and 1 weeks from the build day of the event..
£400 will apply for any requests made less than 48 hours from the build day of the event..
Payment of all fees is required in advance by card no permission will be granted or documents supplied by you will be review in advance of payment.
Water Supply
External suppliers will not have access fresh water on site, and this must be arranged externally and brought on site. ( Water bubbles are our suggested method )
Equipment / Product
No Support items can be supplied this should be arranged by the supplier/ yourselves, this includes milk, water, cups, and all other requirements required to operate a coffee machine onsite, any supplier found using any items from the ICC will have permission to operate withdrawnand cost will be applied for the items used.
Access
No access is permitted to any area defined as Catering.
these areas include Kitchen areas, Hall 1 store area, Clear down area located next to the lift, Bars, any supplier seen accessing these areas will have permission to operate withdrawn. Please ensure you have informed your supplier of this.
EHO Requirements (These are law’s your supplier must follow to operate)
Hand Washing and washing facilities are not accessible onsite. We cannot provide guidance on this, and this should be sought from EHO. Click Here
Therefore, a hand wash sink must be on each stand with an externally supplied barista machine, a check will be performed on this during the build buy the Health & Safety manager engage by the Conference,
Machines & Staff supplied by us have access hand washing in Catering areas and a sink is not required with machines supplied by ourselves.
All suppliers should be registered as a food business and provide their most current Scores on the doors to us and this should be 4 or above.
The Organiser of the external supplier will be responsible for ensuring all EHO Policies are followed, and any noncompliance will result in permission being removed to operate and no refund offered.

The responsibility remains with the company arranging the external supplier to ensure all Guidance and requirements are always followed.
Permission to supply will not be granted or be removed with immediate effect if the following outline below is not followed.
EHO Requirements to operate as barista supplier.
We will not provide guidance on the below we would refer you to your relevant EHO.
· Hand washed facilitates (A hand wash sink on the stand) is required for Barista based machines (A hand wash sink can be ordered from North down hireat your cost ) this must be placed on the stand. The use of Toilet sinks are not adequate hand washing as outlined by the EHO. Click Here Please Confirm the arrangements in advance
· The suppliers HACCP & COSSH including chemical Spec Sheets these must also be on hand during the event, Supply in advance
· A Fridge must be in place for Milk storage or Milk replenished every 2 hrs to comply with EHO food safe requirements Please Confirm the arrangements in advance EHO requirement for Temperature critical foods Click Here
· Plan for Equipment cleaning provision Toilets Sinks must not be used, this is against EHO Policy and is Brand damaging for all concerned. Your supplier will not have access to any sinks on site Please Confirm the arrangements in advance.
· Food Hygiene Certificates Copies supplied in advanced to us for all those employed for operating the barista machine. Supply in advance.
· If a Dairy alternative is being provided the correct change of jug must be in place washing a Dairy milk jugs should not happen (x1 Jug is against EHO Policy)
· Allergy information as required to be displayed or available on request

· All Cups, lids, stir sticks, and napkins must be Supplied by the external supplier and must all be compostable, Spec sheets Must be supplied for all items Being used in advance with the information related to Being compostable present. Supply in advance.
· Plastic Free tea bags must be used with the spec sheet/ information Supply in advance.
· Food waste must be placed in a separate bag and placed in the correct Food bin on site.
· All other waste should be place in the other bins.

Allergen Information

The Venue operates as a nut free venue.
Natasha’s Law, came into effect on the 1st of October 2021 and requires food businesses to provide full ingredient lists and allergen labelling on foods prepackaged for direct sale on the premises. The legislation was introduced to protect allergy sufferers and give them confidence in the food they buy. More Info
Experience
Volume and flow are key to ensure that delegates do not have a disappointing experience if the Coffee machine is to be open to anyone then a plan must be in place to limit the Que volume, and explain to delegates the que is closed if required or the wait times they will experience.
Delegates will not separate us from and external suppliers so we must protect our reputation, our focused is to ensure all people involve have a good safe experience.
Avg Volume outputs for the machines/ barista should be confirmed with the supplier to ensure a good delegate experience.

At ICC Belfast, we are proud to serve as the exclusive provider of catering services for all events held at our venue. We are committed to delivering exceptional, sustainable hospitality. If you wish to engage external food or beverage suppliers for smaller Bespoke stand items, prior written approval must be obtained in advance.
Please refer to the following facility fees, compliance requirements, and checklist to ensure your event runs smoothly.

These fees cover administrative processing, documentation review, waste management, and compensation for lost revenue.
📑 Policy & Legal Requirements
All documents listed below must be submitted no later than 4 weeks prior to the event date:
- Fridge details for storage (if applicable)
- PAT (Portable Appliance Testing) certificates for all electrical items
- Handwashing facilities for handling open products
- Cleaning plan for all equipment, including tongs & displayware

Failure to meet the above requirements, or delays in document submission, may lead to:
- Additional fees
- Withdrawal of external supply permission

Every great event begins with great preparation. To make sure your hospitality runs effortlessly on the day, we’ve created a clear timeline that guides you step by step. Think of it as your roadmap — helping us work together to get every detail just right.
⏳ 90 Days Pre-Event – The First Steps
Share your initial menu choices and estimated guest numbers.
If you’re including branded items, this is when we’ll need your logos so our team can bring your brand to life.
📋 30 Days Pre-Event – Shaping the Plan
Provide an updated outline of numbers so we can refine logistics and staffing.
At this stage, we’ll issue an invoice for immediate payment in line with your contract.
Note: To keep everything consistent for operations, reductions are no longer possible after this point.
👥 20 Days Pre-Event – Confirming Your Guests
Confirm your updated guest numbers.
We can accommodate a maximum 20% increase, but no decreases at this stage.
✅ 16 Days Pre-Event – Final Confirmation
Submit your final numbers, including estimates for any items charged on consumption.
Small operational increases may still be possible, but decreases cannot be accepted.
We’ll issue an updated invoice for payment.
🥗 14 Days Pre-Event – Personalising the Experience
Share all dietary requirements so our chefs can prepare with care.
Any new requests must be confirmed by email.
Important: We won’t be able to accept dietary or allergy changes on the day of the event.
📅 7 Days Pre-Event – Last Adjustments
A very limited 1% increase may be permitted (subject to pre-payment by card).
All dietary information must now be finalised.
No decreases or last-minute dietary changes can be accepted at this stage.
