Coffee Machine (External Suppliers) – Facility Fee and Requirements

Facility Fee Payable
The facility fee covers the review of the supplied documents, the administration involved, waste disposal following sustainability guidelines, and loss of revenue.

Coffee Machine Facility Fees

  • Pod Machines: £50 plus VAT per day (all used pods must be taken off-site)
  • Mini Bean-to-Cup Machine: £100 plus VAT per day
  • Large Volume Bean-to-Cup Machines: £250 plus VAT per day
  • Barista Machine: £395 plus VAT per day

Important Deadlines & Fees

  • 4 Weeks Out: All information required and payment must be made to ensure permission is granted. Failure to provide all required information in one email may result in an additional charge of £29.95 per hour (minimum 1 hour) plus VAT.
  • Requests Made Less Than 4 Weeks Out:
    • £100 fee for requests made 3-4 weeks prior to event
    • £200 fee for requests made 2-3 weeks prior to event
    • £300 fee for requests made 1-2 weeks prior to event
    • £400 fee for requests made less than 48 hours prior to event

Payment Requirements

  • Full payment must be made in advance by card; no permission will be granted until payment is received.

Water Supply

  • External suppliers will not have access to fresh water on-site. Suppliers must arrange water independently (recommended: water bubbles).

Equipment and Product Requirements

  • No support items will be supplied by the venue; all items, including milk, water, cups, and other essentials, must be provided by the external supplier. Any supplier found using venue-supplied items will have permission to operate withdrawn, and charges for the items used will apply.

Access Restrictions

  • No access is permitted to any catering areas, including kitchen areas, Hall 1 store area, clear-down area next to the lift, and bars. Access violations will result in the withdrawal of permission to operate.

EHO Requirements (Mandatory Compliance)

  • Hand washing and washing facilities are not accessible on-site. Suppliers must provide their own hand wash sink. Toilet sinks are not acceptable for hand washing.
  • Suppliers must provide their HACCP & COSHH documentation, including chemical spec sheets.
  • Fridge: A fridge must be in place for milk storage or milk must be replenished every 2 hours to comply with EHO food safety requirements.
  • Food Hygiene Certificates: Copies of food hygiene certificates for all staff members must be supplied in advance.

Venue & Health Requirements

  • Employer’s Liability Insurance Certificate: £10 million required, to be provided in advance.
  • Pat/ITEE Certificate: For barista machines, grinders, fridges, and sinks (if electrical), to be provided in advance.
  • Food Business Registration: Proof of registration with the relevant local authority and a food hygiene rating of 4 or above required.

Sustainability Requirements

  • All cups, lids, stir sticks, and napkins must be compostable, and spec sheets must be supplied in advance.
  • Plastic-free tea bags must be used, with specifications provided.
  • Food waste must be placed in a separate bag in the correct food bin on-site.

Allergen Information

  • The venue operates as nut-free. All external suppliers must adhere to Natasha’s Law, which requires full ingredient lists and allergen labelling for prepackaged foods.

Delegate Experience and Volume Management

  • Volume and Flow Management: To ensure a smooth experience, suppliers must manage coffee volume flow to prevent long queues.

White

Flutterby Sauvignon Blanc, South Africa On the palate this wine presents tropical litchi and fresh fruit aromas with integrated green pea and ripe fig flavours. The wine delivers a good ripe fruit expression with a smooth crisp finish. A typical fruit-driven style of wine for lovers of both the tropical fruit, and the fresh herbaceous styles of Sauvignon Blanc.

Long Country Sauvignon Blanc, Chile (Vegan) This Sauvignon Blanc is bright yellow in colour with green tints. Its aromas are intense, dominated by citric flavours, especially pink grapefruit. Floral notes combine perfectly with the subtle tropical fruit flavours. In the palate it is medium-bodied and has a balanced acidity which gives it a crisp freshness. It has a long fruity finish.

L ‘Or du Sud Chardonnay, France (Vegan) has a wonderfully aromatic nose of peaches and apricots. Intense flavours of white flesh fruit and flowers with a hint of sweetness on the clean, fresh finish.

Borgo Magredo Pinot Grigio, Italy

A rich & intense Pinot Grigio revealing elegant flavours of apple and pear

Silver Medal: Selection Mondial du Vins, Montreal

A white wine made from copper-coloured grapes, it presents an optimal level of acidity and pleasant mineral qualities. This is a full-bodied, tasty wine, revealing intense hints of apple and ripe pear.     

Heart of Stone Sauvignon Blanc, New Zealand (Vegan) This is a vibrant wine with flavours of blackberry, gooseberry and passionfruit underscored by appetising, crisp acidity which produces a refreshing finish. It will partner white fish and salads to perfection.

Crane Lake Rose White Zinfandel,USA Light pink wine with floral and tropical aromas: flavors of strawberry, peach and raspberry with a touch of sweetness.

Red

Flutterby Merlot, South Africa

The wine is dominated by rich blackberry flavours and some raspberry. Designed for simple pleasure, this is a fine everyday drinking bottle. The combination of smooth black berried lushness and soft tannins provides a silky mouth feel and a long savoury finish. Further complexity is derived from careful oaking and maturation in older barrels.

This Merlot by Boland Cellar is made in an environmentally sustainable and friendly way. 

Long Country Merlot, Chile (Vegan) The name Long Country alludes to Chile's topography - nearly 3000 miles long but never more than 150 miles in width. Fresh flavours and aromas of ripe black fruits and berries characterise this easy-to-enjoy Merlot,sourced from Chile's Central Valley.

Altosur Malbec, Argentina (Vegan) This beauty is crafted from Malbec grown at an altitude of 4000 feet high in the Andes. The grapes are picked by hand before undergoing a rigorous selection process. The wine is aged in French and American oak barrels for three to four months to soften and add texture. The finished product is an attractive red colour with violet hues.  Aromas of intense ripe fruit: cherries, blackberries, blueberries, and fresh plums, combined with spicy and floral hints. In the mouth the sweet and round tannins increase its fruit sensation and balance.  Wine of good intensity, concentration and a long, supple after taste.

Fantini Sangiovese, Italy A white wine made from copper-coloured grapes, it presents an optimal level of acidity and pleasant mineral qualities. This is a full-bodied, tasty wine, revealing intense hints of apple and ripe pear. With the care of an artisan who chooses amidst his pattern book of fabrics, they walk along the rows of their 200-hectare vineyard in the Grave del Friuli, to test the quality of every single grape variety. In the cellars – with the passion of a tailor – they create wines capable of valorizing the winemaking traditions of Friuli, interpreting them with a gaze turned toward the future. For over forty years, this has been the signature style that guides Borgo Magredo while it transforms the most classic “cloth” to create wines with a modern cut.

Silver Medal: Selection Mondial du Vins, Montreal

Château Monconseil Gazin, France (Vegan) First vineyard in Blaye to be independently audited and certified under the TERRA VITIS regime for sustainable viticulture. No chemicals - organic fertilizers only, treatments based on observation, encouragement of biodiversity and inter-row vegetation. Bud pruning, green harvesting and de-leafing for optimal fruit/leaf canopy balance where appropriate. Harvesting at optimal ripeness, an assemblage of Merlot (60%), Cabernet Sauvignon (30%), Malbec   (10%)Expressive nose of ripe fruits complimented by hints of violet.  Medium-bodied on the palate, with a perfect balance of ripe fruit, well-formed tannins and a refreshing finish.



Prosecco & Champagne

Calogera Prosecco Spumante Extra Dry, Italy The sparkling wine appears bright straw yellow with fine and lasting bubbles, floral with ripe green fruit, accompanied with aromas of fetching stone fruit and acacia on the nose. The palate is lively with clean fresh apple, sweet peach, mingled with citrus and somewhat fragrant, finishing delicate and fresh with a lemon zest but very drinkable. Lightly chill and serve with a strawberry. Best consumed young and served with different breads. Veuve Clicquot Brut Yellow Label Champagne, France He blends 30-45% reserve wines with grapes from as many as 50 to 60 different crus. The Pinot Noir predominance (50-55%) provides the structure that is so typically Veuve Clicquot, while Chardonnay (28-33%) adds the elegance and finesse essential in a perfectly balanced wine, and a touch of Meunier (15-20%) rounds out the blend.The long aging in our Crayères (3 years minimum for Yellow Label) gives silkiness to the Champagne
